•Analyze bidding packages or RFQs (Request for Quotation) received from clients, ensuring all scope of work and required information are listed.
•Assess bidding timelines, scope of works, work quantity and prioritize tasks accordingly for the Bid Deliberation Request (BDR) meeting.
B.Proposal Preparation
•Identify and list technical and commercial bidding requirements, distributing them to relevant departments to ensure timely preparation.
•Coordinate with different departments to gather required documents and form a complete bid submission package.
•Contact suppliers or the Purchasing Department to obtain pricing and quotations for cost estimation.
•Monitor bid closing dates and ensure all submissions are completed on time.
C.Communication with Clients
•Manage and track incoming and outgoing bid-related communications via email, maintaining a well-documented record.
•Notify responsible team members of any updates, changes, or clarifications regarding ongoing bids.
•Communicate with clients for pre-bid and post-bid clarifications to ensure a smooth bidding process.
D.Price Review Meeting
•Coordinate with Estimators to schedule price review meetings, prepare necessary documents, and send meeting invitations to relevant stakeholders.
•Ensure price reviews are conducted well in advance of the bid submission deadline.
E.Departmental Support
•Assist in administrative tasks within the Marketing Department, including preparing reports and organizing client/visitor meetings.
•Perform other duties as assigned by the superiors to support departmental goals.
