• Manage the Managing Director’s calendar, scheduling meetings, appointments, and travel arrangements.
• Serve as the first point of contact for internal and external communications, ensuring timely responses to emails and phone calls.
• Prepare, proofread, and manage correspondence, reports, presentations, and confidential documents.
2. Coordination and Communication:
• Liaise with internal teams, external partners, and stakeholders on behalf of the Managing Director.
• Organize and coordinate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
• Act as a gatekeeper to prioritize requests and ensure efficient time management.
3. Project and Task Management:
• Support the Managing Director in planning and executing key projects, tracking progress, and managing deadlines.
• Conduct research and compile data for reports, presentations, and strategic initiatives.
• Assist in the preparation and coordination of Board and leadership team meetings.
4. Travel and Expense Management:
• Arrange domestic and international travel, including flights, accommodations, visas, and itineraries.
• Process expense reports, reimbursements, and budget tracking for the Managing Director.
5. General Office Administration:
• Maintain an organized filing system for electronic and physical documents.
• Ensure the Managing Director’s workspace is efficient and well-equipped.
• Handle any ad hoc administrative or operational duties as needed.
