- Prepare, create, and manage key business documents, including purchase orders, import permits, shipping documents, invoices, import licenses, quotations, and any other paperwork required for trading operations.
- Assist in developing pricing strategies and performing cost calculations for imported goods.
- Ensure proper documentation flow, maintain accurate records, and organize filing systems for all import-related activities.
- Coordinate with the finance department for invoice processing and record-keeping.
- Ensure compliance with relevant trade and import regulations.
2. Client Management
- Communicate effectively with customers to handle inquiries, confirm orders, and provide follow-up as needed.
- Maintain an up-to-date customer database and ensure the delivery of exceptional customer service.
- Report potential issues and provide timely shipping status updates.
3. Forwarder & Logistics Coordination
- Coordinate with freight forwarders and shipping agents to ensure the timely importation of goods.
- Track shipment status and update stakeholders on delivery timelines.
- Maintain shipping and delivery schedules to ensure prompt order fulfillment.
- Monitor key deadlines and collaborate with relevant departments to prevent delays, reporting potential risks.
- Provide on-site and online support/coordination at customs, partner warehouses, or clients' offices.
- Address and resolve issues by communicating with relevant parties.
- Collaborate with internal teams, such as sales and administration, to support the healthy growth of the business.
4. NSW System / LPI Management
- Manage import documentation through the NSW system, including LPI, Custom Declaration Forms, and other required documentation, in coordination with Customs and FDA authorities.
- Ensure strict compliance with customs regulations and import requirements.
