Job Descriptions
Job Summary: • Manage data in spreadsheets and reports • Keep records and daily sales reports up to date as assigned from line manager • Organize and schedule meetings and events (If any) • Supervise other staff and delegate responsibilities • Carry out clerical duties, including answering phones, preparing documents, purchasing on office equipment • Process all paperwork and ensure all financial figures are correct including all branch rental fee • Working with the Retail Operation Supervisor / Manager for help an office run smoothly and efficiently • To be a Coordinator between internal and external Key Responsibilities: • Issue and be responsible for an effective, informative and motivational communication to all shops on a monthly basis detailing the performance of each shop. • Keep update and complete daily sales report • Ensure stationary orders are complete by the Shop Managers and expenditure kept to a minimum. • Ensure adequate stationary is available at all times. Work with the Head of Retail to set up a central buying system • Complete regular stock takes of stationary in all the shops. • Process all shops paperwork and ensure all financial figures are correct • Monthly follow up on invoice for smoothly process with financial team. Work with marketing to ensure all shops have the correct marketing materials • All other duties as requested by line manager
Qualifications
  1. Bachelor’s degree in Business Administration program, Humanities and social sciences or a related field
  2. 1-2years experience as an office administrator, office assistant or relevant role
  3. Good a communication and interpersonal abilities
  4. Proficient in working effectively under pressure, planning, and prioritizing tasks.
  5. A proactive and problem-solving mindset
  6. Be organizational and good listing skills
  7. Familiarity with office management procedures and basic accounting principles
  8. Have knowledge of MS Office, Power Point and Google sheet
  9. Qualifications in secretarial studies will be an advantage
