DUTIES AND RESPONSIBILITIES:
General duties
- Oversee the administrative functions of COET Foreign Affairs Department including office management, accounts, registry and human resource.
- Prepare annual work programme, and annual administrative reports
Specific duties and responsibilities
- Draft meeting notes, minute of meetings, and responses to various types of correspondence such as MoU, letters, diplomatic notes, international meetings and conferences, request for responses, and country briefs for example.
- Undertake research and prepare briefing documents and recommendations for international meetings agenda (ASEAN, IEA and others) for COET’s representatives
- Perform preparatory work for meetings of the Foreign Affairs subcommittee, the MC subcommittee, the TABEE subcommittee and their working groups and write follow up reports as required;
- Perform preparatory work for meetings and discussions between COET and representatives of foreign governments, external agencies and other ministries/departments and write follow up reports as required;
- Monitor, assess and analyse the international developments in engineering education and professional practices and prepare appropriate briefs with recommendations;
- Maintain contacts with representatives of foreign engineering organizations, the public, private sector and civil society
- Planning, organizing and logistical execution of participation of COET’s representatives in meetings/visits overseas
- Provide support to senior officer(s) in negotiations and participation in meetings;
- Perform planning and organizing international/regional meetings and conferences
- Represent COET at functions and meetings or conferences
- Perform other related duties as required.
