Job Descriptions• Provide comprehensive administrative support to the art team, including scheduling appointments, taking minutes, and managing correspondence.
• Monitor inventory levels of office supplies, order new materials as needed, and liaise with vendors for the maintenance and repair of office equipment.
•Arrange travel and accommodations for internal team and external guests, including artists, speakers, and consultants visiting the museum. Coordinate itineraries, transportation, and any special requirements to ensure a seamless experience.
• Handle operational and office management tasks, including venue accessibility, health and safety issues, and maintenance of buildings and facilities.
• Organize, manage, and maintain vendor, guest, and digital records to ensure data accuracy and accessibility.
• Support financial and budgetary processes, including invoice processing, expense tracking, budget reporting, and ERP system.
• Provide administrative support in organizing and maintaining documentation, including scanning files, preparing Excel etc.
• Manage the art book collection, including acquisition, cataloging, and organization. Ensure that the book collection is updated and accessible to staff and researchers.
• Prepare presentation and organize documentation related to exhibitions, events, and administrative tasks.
• Assist in the coordination of administrative tasks with external vendors, contractors, and freelancers, managing appointments, organizing documentation, and facilitating effective communication between the Art team, accounting, and procurement etc.
• Assist in creating and drafting documents, including memos for internal approvals within the team, and coordinate with the Art team and relevant stakeholders to secure necessary approvals for related actions.
• Conduct basic research related to exhibitions, artists, and other related topics.
• Maintain a high level of confidentiality regarding sensitive information.
• Oversee administrative functions.
