Job Descriptions
Administrative Support: - Coordinate and facilitate internal meetings, workshops, and corporate events. - Organize meetings (Snack and Welcome Gift) - Coordinate and maintain office facilities, ensuring a clean and safe working environment. - Assist in the preparation of reports, presentations, and company communications concern Office equipment Visa and Work Permit: - Coordinating and preparing the necessary documentation for visa and work permit applications or renewals for foreign employees. - Liaising with immigration authorities to ensure compliance with local regulations. - Handling the paperwork and submission process for work permits. - Collaborating with Agency to ensure that visa and work permit applications meet all local legal requirements. - Working closely with HR recruitment proceed Visa and Work Permit Driver and Messenger - Handle to control car’s booking - Manage car schedule, assign driver Office Area - Assist in onboarding new employees, including coordinating workspace setup and handling office orientation. - Manage office budgets and ensure cost-effective operations. Facilities and Safety Management: - Ensure the safety and security of the office, including managing building access, fire safety procedures, and emergency protocols. - Oversee maintenance schedules for office facilities and equipment. Company Contract Management - Support prepare document for extended rental contract such as Office rental, WH rental. - Manage contracts Procurement (Rent Car, Messenger outsources) - Negotiate and manage contracts related to office supplies, facilities management, and other operational needs. - Manage relationships with vendors and service providers, ensuring timely and cost-effective delivery of services. Event Coordination: - Organize and manage company events, meetings, and training sessions. - Handle logistics, including booking venues, arranging transportation, and preparing materials. - Responsible to support Hotel Booking, Air Booking
Qualifications
  1. Bachelor’s degree in business administration, Office Management, or a related field.
  2. Proven experience 3 in an administrative or general affairs role.
  3. Strong organizational and multitasking skills.
  4. Excellent verbal and written communication skills.
  5. Proficient in Microsoft Office (Word, Excel, PowerPoint) and other office software.
  6. Ability to work independently and as part of a team.
  7. Attention to detail and problem-solving skills.
