Job DescriptionsThis full-time role supports our chapter's operations and offers a career path to the position of Event Manager. YPO SEA Angels Chapter is a vibrant and diverse community of young CEOs and business leaders from across Southeast Asia, with a significant presence in Bangkok, Thailand.
Administrative Duties:

●Assist in scheduling meetings for the Chapter Chair and the Executive Committee (EXCOM).
●Manage logistics for Chapter Committee meetings, including venue, catering, and technology setup.
●Draft meeting agendas and required presentations for approval.
●Record, amend, and distribute meeting minutes promptly.
●Maintain and update the chapter’s "calendar of events," including EXCOM and committee meetings.
●Regularly monitor and update the chapter health dashboard to maintain Platinum status.
●Keep the chapter membership directory updated and circulate bi-annual updates.
●Manage chapter email account and main telephone, ensuring timely responses to inquiries.
●Adjusts communication channel to cater to each member’s style of communicating.
●Build a good relationship with the assistants of the members for a better flow of communication.
●Understand YPO ways of working, policies and procedures.
●Maintain and engage a good relationship with regional managers and other chapter managers to learn YPO best practices.
●Familiarize oneself with the protocols and procedures for YPO membership, including handling new prospects and members.
Event Management
●Oversee all aspects of event planning and execution for the Chapter, under the leadership of Learning Officer
●Collaborate with the Learning Officer to create an annual learning calendar. The calendar should be presented to EXCOM by May every year.
●Send preliminary "Save the Date" notices six months prior to each event, with updates as necessary.
●Coordinate closely with the Event Chair on event flow, food and drinks, event set up, logistics, budgeting, and supplier negotiations.
Qualifications - Bachelor’s degree in business administration, Management, or a related field.
- Proven experience in an executive secretary/ administrative role, ideally with direct experience working with senior executives or within a member-driven organization.
- Proficiency in English and Thai (Reading, Writing, Speaking and Listening)
- Proficient in Microsoft Office Suite, Google Workspace, Zoom, database management, and ideally some experience with event management platforms like Cvent.
- Strong organizational, communication, and interpersonal skills
- Ability to work independently, manage multiple priorities, and maintain meticulous attention to detail.
- Eagerness to learn and self-develop.
