Job Descriptions
We are seeking an experienced Administrative Manager to oversee and coordinate the administrative operations of our organization. The ideal candidate will be responsible for managing the administrative staff, implementing efficient processes, and ensuring that all administrative tasks are carried out effectively. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously. Key Responsibilities: Office Management: -Oversee daily office operations, including facility management, maintenance, and supplies. -Develop and implement office policies and procedures to improve efficiency and effectiveness. -Ensure a safe and comfortable working environment for all employees. Team Supervision: -Lead and supervise the administrative team, providing guidance, training, and support as needed. -Assign and delegate tasks to team members, monitor progress, and conduct performance evaluations. -Foster a positive work environment and encourage teamwork among administrative staff. Budgeting and Financial Management: -Track expenses, negotiate with vendors, and ensure cost-effective use of resources. -Work closely with the finance department to maintain accurate records and control costs. Documentation and Reporting: -Maintain accurate records, files, and databases for easy retrieval of information. -Prepare regular reports on administrative activities and provide insights on areas for improvement. -Ensure compliance with company policies and government regulations regarding record-keeping. Vendor and Supplier Management: -Manage relationships with vendors and service providers, including negotiating contracts and monitoring performance. -Monitor contracts and renew or renegotiate terms as needed. Policy Development and Implementation: -Develop and implement administrative policies that align with company objectives. -Update policies as needed and communicate changes to all relevant parties.
Qualifications
  1. Bachelor's degree in Business Administration, Management, or a related field.
  2. Minimum of 5 years of experience in an administrative or office management role.
  3. Proven experience in managing administrative teams and handling budgeting responsibilities.
  4. Proficiency in office software and tools, such as MS Office, scheduling software, and budgeting applications. Strong communication and interpersonal skills.
  5. Excellent organizational and time-management abilities.
  6. Ability to work independently, make decisions, and handle confidential information.
  7. Experience with HR and payroll processes.
  8. Knowledge of health and safety regulations.
  9. Ability to multitask and prioritize projects effectively.
  10. Language Requirements: Fluent in English or Chinese, both preferred.
