The HR Admin will provide comprehensive support to HR, training, and operational teams, managing essential employee processes, maintaining accurate records, and ensuring compliance with company policies and legal standards

Key Deliverables
- Accurate and timely processing of payroll, stipends, and benefits.
- Comprehensive management of teacher and staff records in the database.
- Smooth execution of onboarding, training, and offboarding processes.

HR Admin Monthly Duties
Key Responsibilities
Human Resources Support
- Assist in drafting, implementing, and maintaining company policies, including updates to the BFITS Employee Handbook and related materials.
- Prepare and manage employment contracts, addendums, and other teacher agreements, ensuring accuracy and compliance with organizational policies.
- Coordinate employment processes, including disunion procedures, onboarding, and offboarding of teachers and staff.
- Maintain and update employee records in the database (e.g., personal information, employment status, emergency contacts, stipends, etc.).
- Oversee teacher loan requests, facilitating approvals and documentation as required.
- Support referral bonuses and recruitment efforts, including cover teacher contracts and onboarding processes.
- Ensure compliance with employment laws and provide regular updates on their organizational impact.
Payroll and Benefits Administration
- Coordinate payroll processes, ensuring accurate and timely processing of salaries, stipends, bonuses, and deductions.
- Notify teachers and coordinators about salary payment dates and provide payroll-related updates.
- Collaborate with the FTA team to track and ensure completion of BFITS Beneficiary Designation forms for insurance.
Database and Document Management
- Maintain and update the teacher database (Google Drive), ensuring accurate records for contracts, stipends, emergency
contacts, and employment details.
- Regularly back up employee records, salary files, and other critical HR documents for security and compliance.
- Manage equipment inventory (e.g., laptops, iPads, Chromebooks, BYOD), ensuring proper allocation and tracking.
Administrative Coordination
- Facilitate the setup of Thai bank accounts for teachers, including obtaining and documenting bank account details
for the director.
- Draft, process, and distribute employment letters for teachers (e.g., for visas, bank loans, travel, education, taxes).
- Arrange and coordinate logistics for director meetings, training sessions, and team events.
- Monitor compliance with tax deadlines, employment contract renewals, and other year-end processes.
Communication and Liaison
- Act as a liaison between HR, admin, operations, and training teams to ensure seamless task coordination and efficient workflows.
- Communicate with teachers, coordinators, and management regarding updates on contracts, training schedules, policies, and salary matters.
- Provide ongoing support to teachers by addressing questions, requests, and concerns promptly and professionally.
