Job Summary: Inner Space is seeking a friendly, organized, and compassionate receptionist to join our team. As the first point of contact for our clients, you will play a crucial role in creating a welcoming and supportive environment. Your professionalism and warm demeanor will help set the tone for a positive experience, ensuring smooth operations and excellent client service. Job Description - Greet clients warmly and assist them with check-in/check-out procedures. - Coordinate client referrals to appropriate psychologists or specialists contingent upon presenting issues. - Answer phone calls, schedule appointments, and manage client inquiries in a courteous and professional manner. - Respond to customer inquiries via social media and inbox Maintain client confidentiality and handle sensitive information with discretion. - Coordinate with psychologists and other staff to ensure seamless communication and scheduling. - Accurately record customer information within the designated system and ensure meticulous management of all associated documentation. - Uphold the cleanliness and organizational standards of the counseling center at all times. - Respond promptly and decisively to urgent situations, employing efficient problem-solving strategies. - Assist with administrative tasks, including filing, data entry, and processing payments. - Provide general support to clients and staff to enhance the overall functioning of the practice.
Qualifications
  1. Prior experience as a receptionist or in a customer-facing role, preferably in a healthcare, mental health or wellness setting.
  2. Excellent interpersonal and communication skills, with a warm and empathetic demeanor.
  3. Strong organizational skills and attention to detail.
  4. Proficiency in basic computer applications (e.g., Microsoft Office, scheduling software).
  5. Commitment to maintaining client confidentiality and a supportive atmosphere.
  6. Well-groomed, polite, and possesses excellent interpersonal skills
  7. Strong sales skills and ability to present company products and services effectively
  8. Ability to handle unexpected situations and problem-solve effectively
