Job Descriptions
1. Office Administration: •Organizing flawless office operations: maintaining cleanliness, order, and a presentable appearance. •Managing document flow: receiving, registering, systematizing, and archiving incoming and outgoing correspondence. •Liaising with service providers (catering, floral arrangements, equipment maintenance, etc.). 2. Guest and Client Reception: •Professional reception and escort of guests and clients. •Preparing meeting rooms: arranging, presenting, and creating a comfortable atmosphere. •Organizing coffee breaks, business lunches, and hosting meetings according to company standards. 3. Management Support: •Administrative support for top management: booking tickets, hotels, and organizing transfers if necessary. •Coordinating personal tasks of executives related to office activities. 4. Internal Process Management: •Maintaining expense reports for office needs and controlling the office budget. •Ordering office supplies, gifts for clients, branded products, and ensuring the quality of delivered goods and services. •Managing courier services and the logistics of shipments. •Participating in the organization of premium-level corporate events. 5. Service Standards and Brand Reputation: •Adhering to high service standards with attention to detail. •Ensuring the confidentiality of company and client information. •Demonstrating exceptional politeness, diplomacy, and impeccable appearance.
Qualifications
  1. 25–45 years old.
  2. At least 1 year of experience in a similar position (Office Manager, Administrative Assistant, Personal Assistant) — preferably in international companies or the luxury/premium service sector.
  3. English proficiency — mandatory (at least Upper-Intermediate level, both spoken and written).
  4. Education: Higher education (Business Administration, Linguistics, Hospitality, PR, or related fields preferred).
  5. Strong organizational and time management skills.
  6. Proficiency in Microsoft Office and Google Workspace; CRM experience is a plus.
  7. Impeccable appearance and excellent communication skills.
  8. High attention to detail, discretion, diplomacy, and ability to multitask.
  9. Strong service orientation and understanding of premium standards of customer care.
